Why EPD verification takes months, and what it costs your business

Environmental Product Declarations (EPDs) have moved from supporting material to core business documentation. They now determine eligibility in tenders, feed green building certifications, and inform low-carbon design decisions. Yet verification timelines routinely lag behind commercial needs, and the gap is wider than most teams expect.

In traditional workflows, full verification can take four to six months, and in some cases up to a year. Businesses, meanwhile, typically expect verified declarations within one to two weeks. That mismatch cascades through product planning, procurement, and sales, and it rarely traces back to a single cause.


The four operational causes of verification delays


1. Manual document exchange

Traditional verification runs on email. Consultants, manufacturers, and verifiers share documents in repeated comment cycles, and each round adds time. Documents must be collected again, updates go untracked, and version confusion multiplies the review effort.


2. Fragmented communication and variable expertise

EPD programs involve multiple roles: life cycle assessment (LCA) practitioners, consultants, manufacturers, and verifiers. When these parties interpret standards or LCA methodology differently, or engage at different levels of depth, verification becomes more complex and slower.


3. A finite pool of qualified verifiers

Only a limited number of eligible experts can perform verification. When demand spikes, queue times and scheduling friction follow. This constraint is structural: you cannot hire your way out of it, but you can reduce the verifier hours each declaration consumes.


4. Incomplete submissions

The most preventable cause is also the most common. Verification specialists at EPD Hub report that delays frequently start with incomplete packages: missing allocation documents, absent electricity contracts, no proof of guarantees of origin, missing transportation data, or the wrong EPD draft attached to a product. Incorrect Product Category Rule (PCR) selection, unclear scope, and mismatched system boundaries produce the same result: another review cycle.


What slow verification costs

The consequences of a months-long verification queue show up in three places.


Delayed product launches. Many markets require verified environmental transparency before a product ships. An EPD serves as documented proof of life cycle environmental performance. Without it, launch dates slip.


Missed tender windows. Tenders carry hard submission deadlines, and sustainability criteria increasingly determine scoring or eligibility. If an EPD is required and verification is still in progress, the tender window closes without you.


Stalled specifications. Architects and engineers increasingly specify products with verified environmental data. EPDs have become standard rather than supplemental, so projects that depend on verified data pause when declarations are unavailable.

Each of these translates into revenue risk. Where EPDs form part of eligibility rules for government or large enterprise projects, missing declarations disqualify products from consideration entirely.


What verifiers actually need

Verification accelerates when submissions arrive structured for review. In practice, that means complete packages with all evidence in one bundle, documentation that aligns coherently with the LCA model, clear version control with audit trails, and fast, complete responses when verifiers raise questions.

The underlying principle is traceability. When the verifier and the submitter work from one controlled source of truth, review cycles shorten because no one reconciles conflicting versions or hunts for missing evidence.


The bottom line

Verification backlogs are not inherent to EPDs. They result from workflows optimized for one-off document exchange rather than repeatable publishing. Organizations that treat every declaration as a standalone project keep repeating the same errors, and verifiers keep sending the same packages back.


The fastest route to shorter timelines is not pressure on verifiers. It is submitting complete, coherent, traceable packages the first time.
